Reproduction of Archival Materials
Reproductions can be made of most types of archival material, including textual records, oversize maps and architectural drawings, microfilm, photographs, audio cassettes, films, videotapes, and some records in electronic format. Researchers should note, however, that reproduction service may be limited by donor restrictions and is subject to the terms and conditions of the Copyright Act.

Saskatchewan Archives reserves the right to refuse to provide a reproduction of archival materials if they are fragile or damaged and if the process of producing the reproduction will jeopardize their physical integrity and the Archives' ability to provide said materials to future patrons.

Photocopies of Archival Materials
There is no limit to the number of photocopies that a patron can order. However, for documents that are considered to be a "work" as defined by Canadian copyright legislation, where there is still a subsisting copyright consideration, the Archives is restricted to making a single copy for a patron's research and private study . Copy orders are processed in the order in which they are received. We strive to complete orders within a three week period. However, at certain times, there may be delays in processing large copy orders.

Other Forms of Reproduction of Archival Materials
The following reproduction services are available.

  • Prints and slides can be reproduced from photographs, whether or not a negative is available.
  • Microfilm printouts can be reproduced using a microfilm reader-printer. In Regina, a self-service microfilm reader-printer is available for use by patrons.
  • Oversize maps, architectural drawings, and colour photocopies can be reproduced, but there is a $20.00 minimum charge for these orders. Additional charges as necessary will be quoted at the time the order is placed and will include a 20% SAB handling charge
  • Audio tapes can be reproduced onto cassettes, or onto other media upon request
  • Films and videotapes can be reproduced onto VHS videotape, or onto other media upon request
  • Copies of microfilm reels are available where Saskatchewan Archives creates or has created the negative
  • Copies of electronic data contained on floppy disks is available on 3.5 inch diskettes.
  • Digital scans of photographs, documents, and other archival materials are available in most instances. They can either be copied to a compact disk (CD) or sent as Email attachments. Digital images transmitted by Email will usually have to be sent as smaller files (JPEGs), depending on the number of scans ordered and the size of the recipient's electronic mailbox. The Saskatchewan Archives reserves the right to refuse to scan archival materials if they are fragile or damaged. Orders for digital reproductions must be accompanied by a completed Scanning Agreement.

Copyright
It is the policy of the Saskatchewan Archives and its staff to comply with the spirit of the federal Copyright Act and regulations pursuant to that Act. You may consult the Act online at: http://laws.justice.gc.ca/en/C-42/index.html.

In accordance with the regulations of the Copyright Act, which came into force on September 1, 1999, persons requesting a copy of a work(s) from an archive are hereby notified that:

  1. Any copy is to be used solely for the purpose of research or private study; and
  2. Any use of a copy for a purpose other than research or private study may require the authorization of the copyright owner of the work in question.

The following information will be made available, upon request in writing, to the author of the work, the owner of copyright in the work, or the representative of the author or owner of copyright:

  1. The name of the archive making the copy;
  2. The name of the person requesting the copy or, if the request for the copy is made by another institution on behalf of a person who is a patron of the other institution, the name of the patron and the archive making the request;
  3. The date of the request; and
  4. Information that is sufficient to identify the work copied.

In cases where a copy of an archival document that is not in the public domain is required for a purpose other than research or private study - for example, when a copy of a photograph is required for publication in a book or on a website, or for broadcast purposes - a letter of permission from the copyright holder will be required before a copy of the document will be reproduced.

It is recommended that researchers consult the Copyright Act and seek legal advice where questions regarding the interpretation of copyright arise. It is not the role of the Saskatchewan Archives to interpret the Copyright Act for researchers. Researchers must accept responsibility for determining copyright obligations.

Please complete the form, including your name and address, the type of copies being requested, your signature (at the X after the conditions of service), and a fully detailed description of the copies being requested.

Forms of Payment

Payment for goods and services must be made in Canadian dollars, and may be made by cheque, money order, VISA or MasterCard. (Please do not send cash in the mail.)

Note: Saskatchewan Archives does not have a secure online system for receiving credit card payment, therefore we strongly discourage our clients from sending credit card information in an e-mail or contact form via the internet. Instead, we recommend that clients phone us to arrange credit card payment, or send credit card information (cardholder name, card number, expiry date) by regular mail or fax.
